Problem / Opportunity
Briefly summarize the problem or opportunity you propose to address. Write this in terms of the organizational problem being addressed, not in terms of the solution needed.
The university is in the pre-public phase of a comprehensive campaign that is projected to run thru 2020. The reporting needs for fundraising at this level requires a wide-ranging approach. The President, cabinet, campaign committee and other top-level leadership will need complex and varied reports to inform campaign planning and execution. Working reports and analytics for the Development Office will also been needed to inform day-to-day activities.

This section defines the one central outcome that gives purpose and direction to the project. It is what you intend to do to accomplish to address the problem or opportunity identified above. Example: Complete current graduation requirements will be
• The purpose of this project is to inform all stakeholders of the status of campaign fundraising to enable the campus to meet the goals of the campaign within the timeframe allotted. Campus and campaign leadership, in addition to the Development Office (VP, AVP, fundraisers, staff) will require tools and reports to focus on the most likely prospects for campaign and on campaign progress.
Goals & Objectives
Objectives are specific, measurable, and timed outcomes of the project that are stated in terms of the problem solutions or opportunities users will experience.
Present various suites of reports that meet the campaign information needs of: President, Cabinet; Campaign leadership; University Advancement leadership; Development team; Advancement Services team.

Reports should be clearly and visually presented, easily accessed
Project Steps
Clearly state the major steps necessary to complete the project goals and objectives, with a focus on the non-IT planning steps required. List steps sequentially, with responsible parties noted.
1. Determine scope of reports needed for campaign (audience, purpose, information)
2. Determine required data elements, sources of data
3. Determine best tools to use (Advance dashboards, Cognos, data visualization such as Tableu, etc.)
4. Develop reports and delivery methods, test
5. Put in place a campus training and notification process including how to access reports

The person in your area who will help lead the following: document requirements, bring in appropriate resources (e.g., faculty, students, staff, etc.), and oversee tasks, testing, and training.

Functional Teams and Other Resources
Please do your best to define personnel needed for your project, as well as your best estimate of the number of hours needed from those project team members.
Project team (besides IRT) – representatives from University Advancement, Development and Advancement Services – will need 20 hours to determine scope of reports needed. Advancement Services will need 80 hours working with IRT to refine data, determine tools, verify reports, develop training and access to reports.
Risks and Dependencies
Identify any factors that can affect the outcome of the project including major dependencies on other events or actions. These factors can affect deliverables, success, and completion of the project.
Dependencies and Risks:
1. Staff resources to implement project on both IRT and University Advancement sides
2. Note that a project to Customize Advance dashboards thru Ellucian has been approved for 2015-16 at the project cost of $20,288. This project needs to be coordinated within total scope of project.
3. Also, Advance has Campaign Reporting functions that will need to be implemented in tandem with this project.
