Project will be on hold until recommendations are received from the Student E-lifecycle Business Process Mapping project which is projected to end in January 2024. The findings from the Student E-lifecycle project will inform the high level scope for this project. This project will resume in February 2024.

Requirements
In partnership with Academic Affairs, Student Affairs, Advancement and CCE conduct a campus wide survey on use cases and functional requirements for a CRM platform solution to address the challenges related to enrollment management, retention, recruitment, fundraising and other revenue generating activities to name a few. The scoping and discovery effort should capture the following at a minimum:
• Current CRM solution being used
• Licensing and Maintenance costs incurred currently in maintaining the system
• Data Needs for the current solution
• Benefits of the current system and pain points
• Future business drivers, use cases and functional requirements
There needs to be a point contact from Sacramento State identified that can work with the CSU systemwide working group to keep informed of our campus needs and make sure the tool selection and implementation strategy meets our needs. In addition, this effort should also identify culture and organizational change management resource needs to make this initiative a success. In short at the end of this project all Sacramento State functional requirements and use cases should be documented and a draft implementation roadmap that is aligned with CSU systemwide strategy should be ready.

Even though I have chosen Student Success Imperative under Project Category this initiative also supports the following imperatives: • Increase philanthropic giving, Community Collaboration

In addition, there is a dependency in the sense that the timeline for this initiative need to align with the timeline outlined by the CO office for this project.

Risks associated with this initiative:
• CSU Systemwide timeline is very aggressive and does not align with our Annual Project Call timeline
• Collaboration and participation from campus stakeholders in investing time and resources for this initiative

Level of Change associated with this project:
None for discovery. But the implementation would required dedicated Change Management resource as this has campus wide impact. Responsibility of Change Management resources would be determined during the Implementation Phase

Due to recent challenges in enrollment management and its associated financial impact, there is an urgency to develop a CRM strategy for campuses and the CSU system. Hence CSU system office has formed a working group committee in partnership with CSU campuses to complete a discovery of functional requirements and come up with a selection of tool/purchasing plan.
Here at Sacramento State, there are various CRM tools such as Anthology – Campus Labs, Nexus, Engage, Blackbaud, Simplicity, iModules and Hobsons are being used in various areas namely Academic Affairs, Admissions – Undergraduates/Graduates, Advancement/Philanthropic Giving, Career Services and College of Continuing Education (CCE) to name a few. In addition, University Advancement has currently published an RFP to select tool for their CRM and ERP needs. CCE is also working on an RFP to select a CRM tool that would meet their needs from prospect selection, marketing, event management to student retention.
The current environment poses an opportunity to consolidate all our Sacrament State needs on CRM system to better inform the CSU System office initiative on developing a strategy for selecting one more solutions and implementation. This would ensure the CSU system recommended solution and plan meets our needs.
